Nautical Cloud Release September 2024 7.5

1. PENNANT GRAPHICS FOR RACE AND SERIES CLASSES

We’ve introduced a new feature to display pennants as set icons or custom colours. When creating or editing a class, you can now select a pennant or custom. Once selected, the pennant will be displayed on both the “Who’s Entered” page and the results page.

2. MESSAGE COUNT ALERT

To help ensure communications are sent to the correct number of recipients and minimise the risk of manual errors, we have added a new alert feature. When sending a message to more than 9 contacts, you will now receive a notification confirming the total number of recipients before the communication is sent.

3. ABILITY TO ALLOW CREW CHANGES WHEN A RACE IS SET LIVE

We’ve introduced a toggle within the entry requirements that allows entrants to amend their crew list while the race is live. When this toggle is enabled, the crew list can be modified up until the race status is set to provisional or confirmed.

4. ADD OR REMOVE CREW FROM WITHIN THE RACE OFFICE

Race Officers can now add and remove race crew from a race entry within the race office, making it easier to manage race crews without having to impersonate an entrant.

5. EDIT CHECK IN/OUT NOTES AND HAVE SEPARATE NOTES FOR EACH USER

Race Officers can now edit notes they have previously left when checking race entries in or out. A different note is created for each user, rather than having one note for all users. Please note that for security and accountability reasons, only the person who posted the original note can edit it. This ensures that the integrity of the information is maintained while allowing for necessary revisions.

6. REGATTA FEATURES

Co-Pilot Alerts Regattas now have the same Co Pilot alerts capability as races. Users can subscribe to these alerts in the same way they do for races. Custom Entry Questions We have added the capability of custom questions for race entries within regattas.

7. SIMPLIFIED CREW LIST VIEW

If your club uses the World Sailor Database, you can now toggle the visibility of World Sailing information. This improvement allows for a cleaner and more streamlined page view, while still providing easy access to the data when needed. This defaults to not show the world sailor information against each crew member.

8. ORR FLOAT DATE

You can now set a minimum float date when using ORR certifications. This will flag any race entries with a float date earlier than the date specified in the entry requirements.

9. CHECKLIST ENHANCEMENTS

Ability to have optional questions
When designing a checklist, you now have the option to mark a question as optional. If this setting is selected on a question, users will not be required to provide an answer for that specific question to submit the checklist.
Ability to upload multiple documents to a checklist
When designing a checklist, you now have a question type that allows multiple files to be uploaded for that specific question. This feature enables users to attach multiple documents or images, for example when they have multiple pages that are two or three separate photos from their mobile device.
Ability to turn off terms and conditions on checklists
You can now turn off the requirement for terms and conditions on checklists. This option allows you to simplify the checklist requirements by hiding the terms and conditions if they are not required.

10. SPECIAL AWARDS

Special Awards Race Office
Special awards have been introduced, allowing Race Officers to create and manage awards that entrants can sign up for. Race Officers can design a series of questions that an entrant must complete to be considered for an award. These questions can be mandatory or non-mandatory and can be answered using different formats, short text, long text, whole number, decimal number, date, option set, yes/no toggle. Race Officers can also include any extra information when creating a question. After submission, Race Officers can review the answers and either approve or deny the application.
An accessible link on the notice board will display entries for open awards.
Awards can be scored in various ways, including elapsed time, corrected time, finished time, and manually. Scored awards will be publicly visible on the results page.
Awards can also be linked to specific divisions. Only entries in these divisions can then apply for awards linked to them.

Special awards can be set to Draft, Closed or Open. When in draft, they will not display for competitors to apply. When closed, the system will not permit a new application. Once a competitor applies, their application is set to a status of Awaiting Approval and should be approved or declined from the race office. Any that are in a submitted status will be show on the race dashboard, altering you to ones that require action. Special Awards Competitor Portal When there are open special awards for a race, a competitor can apply when managing their race entry. Any custom questions will need to be completed before they can apply. Applications can be saved as draft. Approved applications for special award applications can be views from the Who’s entered page.

11. HEARING BOARD & SCORING INQUIRY ENHANCEMENTS

Protest board has been renamed to hearing board with minor wording changes In response to feedback from several international judges regarding our terminology around hearings and protests, we have made numerous updates to the wording. The section is now called the ‘Hearing Board,’ with the term ‘protest’ being largely replaced by ‘hearing’ to better align with World Sailing standards. Competitors can request a hearing for a protest, redress, or discretionary penalty. Published hearing requests now default to hearing pending When a user publishes a hearing request to the Hearing Board, the request will now automatically default to ‘hearing pending’. Ability to add a header message on the hearing board via the race office Race Officers or Protest Committees can now add a header message to the Hearing Board. This feature allows for the inclusion of important information for competitors, such as protest time limits and other relevant instructions.
Hearing Time zone You can now set an independent time zone for each hearing that may differ from the time zone of the race. This update allows for greater flexibility in scheduling and coordinating hearings across different time zones where for example a race starts in one time zone and finishes in another. Scoring Inquiries Race Office We have removed scoring Inquires from the protest board area and added them as a new menu item on the race menu. As a protest committee doesn’t deal with scoring inquiries, it’s more logical to remove them from the protest area and add them to the race area where race officers can deal with them separately. All existing functionality remains. Scoring Inquires Notice Board A competitor can now add and review their scoring inquires from the public scoring inquiries page. Previously, they were required to do this from the protest board. (Now renamed to the Hearings Board)

12. RACE ENTRY FILTERS/VIEWS

Ability to export based on different filters. You can now export filtered data from lists such as race entries. This means that once you apply a filter to narrow down your list, you can easily export only the data that matches your filter criteria. This enhancement simplifies data management by allowing you to focus on specific subsets of information and generate exports that are more relevant.
Ability to Email or Text all Entries in Filter View With the same filtered views, you can now email or text all entries within those filtered views. An example is sending a text to all entries that have not checked-in for an event or have an outstanding amount to pay.

13. ONLINE ACCOUNTS MANAGEMENT

You can now filter online accounts by set security options. • All Accounts • Race Officers • System Administrators • Refund Permissions • Checklist approvers Certificate Approvers
You should consider using these filters to periodically review who has elevated access for the race office and reviewing if that access is still necessary.

14. DOCUMENTS OPEN IN-PREVIEW

Previously when someone clicked on a document from different areas of the system, including the notice board, it would download it on their device, and they had to find it to open it. We have now implemented a method to just open the document in a new window to improve the user experience.

15. PERSONAL WAIVER ENHANCEMENTS

Waivers and impersonating users When a race officer impersonates a user, they can no longer accept the waiver on their behalf. This ensures that when a waiver is agreed, it must be the account user that does this and not a race officer on their behalf. Waiver Audit We’ve introduced a new waiver audit section for each online account, which provides detailed information about when and where a waiver was signed. This section allows you to view the IP address of the device used to accept the waiver, the browser that was used, as well as the exact date and time of acceptance and other relevant information about the user location. Additionally, you can access the specific version of the waiver that was signed, which is useful if the waiver has been updated since it was originally accepted. This feature ensures full transparency and traceability for waiver acceptance. This is important where you are requested to provide evidence of the completion of the waiver by a user.

16. RACE OFFICE BACK BUTTON IMPROVEMENTS

The back button in the race office used to take you back to the race list, this has now been enhanced to take you back to the previous screen that you were on. To return to the home page of the race office, you can select the Nautical Cloud logo on the top left or navigate using the breadcrumb links at the top right:

17. TEST SEND SMS USING ‘AUTO SEND FINISH DEC ON FINISH’

When a race is using ‘Auto Send Finish Declaration on Finish’ a race officer will now have the option to send a test text to a selected number. This will enable you to preview your message as a competitor will see it. We have also added further validation to remove carriage returns and ensure that the URL link is included in the template.

18. CUSTOMISABILITY OF ‘WHO’S ENTERED’ LABEL

Administrators now have the flexibility to customise the ‘Who’s Entered’ label to better align with the specific terminology used by different yacht clubs. This feature allows you to tailor the label to your club’s preferred wording. If no customisation is made, the label will default to ‘Who’s Entered’. The customised label will be displayed on the notice board, reflecting the chosen terminology across all relevant communications. The Who’s Entered button is used on the Notice of race. Example changes are to reword it to “Entry List” or “Scratch Sheet”.

19. RACE RESULTS REPORTS AND DASHBOARD

Race Results Report A new report has been added to the race dashboard, Download reports area. This report allows you to export the results of a race to excel. Send Communications and Export Data On the race dashboard, we have separated our Export race entries and Send Communications. This makes the system easier to understand and use.

20. FINISH DECLARATION AUDIT

When a competitor re-submits a finish declaration, it overwrites the original submission. Some events have a deadline time to submit after a boat has finished. We have introduced an audit table to show all versions of the submission to help distinguish the original time of submission and any subsequent changes. This can be accessed from the race office, race entry, finish declaration tab.

21. TICKET ENHANCEMENTS

We’ve made several key improvements to the ticketing system within Nautical Cloud. Race Officers now have the ability to edit ticket holder selections and reassign tickets to different accounts you can now filter tickets by their “Display Until” status, allowing you to easily view either active tickets or those that have expired. We’ve also introduced a new feature that allows ticket purchasers to leave comments when adding notes. For example, purchasers can now indicate specific requirements, such as dietary restrictions or allergies, Race Officers are able to add a header to this notes box.

Race officers can now add a Bio and graphic for a regatta team. If teams are used, this Bio and Graphic will show when click on more detail on entries.

The team name will also show on the who’s entered page, in place of the owner field.

22. OTHER MINOR FIXES

We’ve fixed a bug when trying to view trophy history.
Checklists and Certificates list view now shows the current name of the online account that submitted it, in the past we stored the name of the person when they uploaded it. As example issue was when a person changed their surname, it was hard to find the submissions.
