All Email communications from the system now support attachments. A new attachments tab has been added to the send email forms.

YB Tracker Race Co-Pilot Alerts

We have added more co-pilot alerts associated with YB Tracker including:

Trackers that have not reported a GPS location since x minutes.

Boats that are x minutes from the Finish Line.

Low batteries on Trackers.

We previously added the ability for race officers to have any alerts on the Race Co-Pilot, be sent to them by email and/or SMS. This can be used when receiving these new alerts during the race.

Options can be configured in the race tracking of a race using YB trackers:

You now have options to manually sort the finish list by sliding the cards around, sort by estimated finish time (when using Tracking) and sort by rating.
You can set up a guest race officer to have access to finish boats but not to be able to change the race status or start times on the app. Guest race officers have no access to the race office online.

Recently Live

In the past, if you were to set a race’s results to provisional or confirmed, it would disappear from the live results page.
We have added a section on the Live Results page to list any races that were recently live.

Checklists and Certificates

We have added a new status to checklists to align the declined status with Certificates. Previously when a checklist was declined, it was put back to a pending status.
When you decline a checklist or certificate, you are prompted to 1 Decline and send a standard email or 2 Decline and Edit Email.

1 – This will put the certificate or checklist into a Decline status and send a standard email template (configurable in the templates section), this includes the external note.
2- This will open a new email to edit, prefilled with the standard template. Once sent the checklist or certificate will be put into the declined status.
When you approve a checklist or certificate, you are prompted to keep or clear the external note linked to it.

Advanced Certificate Age-Based Requirements

We have added advanced options to the certificate designer. This can be used to set age-based certificate requirements and applies to all races in the system.
A good use case for this is getting parent/guardian consent for those under a specified age.

It’s highly recommended to put a link to the form in the form description and make it clear who is required to complete it.

Once the competitor uploads the form and its approved, the alert will clear.

Timing Analysis

We have added a new clickable icon in the finish time screen within the race office.
This enables a race officer to see all times that are captured in the system and all the self-declaration details.
Where applicable, times include:

• Self-Declaration made and declared time
• Tracker Finish Time
• Committee Finish Time

Custom Race Entry and Boat Contact Fields

The race office has been updated to reflect any custom label changes made to a boat or race entry. Previously, these customisations only showed in the competitor portal.

Race Office – Race Entry Transaction Auditing

All transactions in Race Office now include the user who applied the transaction/s.

World Sailor Requirements per Division

Advanced options on divisions to set a required percentage of crew to hold valid categories for World Sailing.
The system will automatically check for compliance to ensure that an entry has the correct percentage of each category per division as required.

When an entrant views the tasks details, a list of crew and World Sailor Status will show.

Within the race requirements page, a date can be set to ensure that any World Sailor Categorizations do not expire until a specified date:

Protests, Requests for Redress and Scoring Inquiries

The official notice board now includes links to scoring inquiries.

The protest board has been updated to allow competitors to register New Protests, Requests for Redress and Scoring Enquiries. Non logged in users will be request to login once they click the following button:

Once logged in, their submissions will be listed at the bottom of the protest board (Protest Forms). This displays both ones they have submitted and ones in draft waiting to be submitted.

When creating a new submission, the form changes to capture the correct information depending on the type, Protest, Request for Redress or Scoring Enquiry. Supporting documents can be submitted with the submission.
A download button is available for user to download a copy of their form.

Once a form is submitted, it cannot be altered by the competitor and an alert will be added to the race co-pilot. Any race officers subscribers to the co-pilot alerts for that race will received a text/sms message with details of the new submission.
In the race office, the protest board has been split into 3 sections: (See image below)

Protest Board & Protest Forms

The protest board shows all protests and requests for redress that are posted to the public protest board from the notice of race.
Ones in draft do no show publicly, ones in any other status do.

Once a competitor submits a protest form (Including request for redress), they will be available in the race office under the protest form section. These default to “submitted”, “Not Published”.

The protest form can be posted to the protest board and details will prefill the new protest, ready to be edited before publishing. Each protest form is linked to a single protest.

A race office can file a protest form within the race office on behalf of a competitor, if required.

Scoring Inquiries

Submission of Scoring Inquiry: Competitors can submit inquiries if they have concerns or questions about their scores. This step allows for transparent communication between competitors and race officials.

Once submitted, these inquiries are listed under a specific section for scoring inquiries within the race office’s protest page. They are marked as submitted but not publicly visible at this stage, which allows race officials to review the inquiry before making any information public.

Review and Amendment by Race Officer: A race officer can review the inquiry, make amendments if necessary, and add notes, including the original score and any updated score. This step ensures that there is a thorough review process and that any changes to scores are well-documented.

Publication on the Public Site: After review and amendment, the inquiry, along with any notes and score adjustments, is published on the public site within the scoring inquiry section. This ensures transparency and keeps all competitors and interested parties informed about the inquiry and its status.

Resolution: The resolution to the inquiry can be added at a later time, which means that the inquiry can be made public before it is resolved. This allows for ongoing communication and updates regarding the inquiry.

This system allows for a clear and organized method to manage scoring disputes, providing a transparent and fair process for competitors. It ensures that inquiries are properly documented, reviewed, and resolved in a timely manner, which is crucial for maintaining the integrity of the competition.

Temporary AIS Name

Within the race office – Race Entries and details, a race officer can set a temporary AIS name for a boat. This will then show up on the who’s entered page and download sheet. A new column has been added for temporary AIS Name.
Boats that squark a different AIS name than their public boat name can now have this information shared by a race officer to not disadvantage other competitors during a race.

Satellite Test Calls

For offshore races, an additional option can be set on the race requirement for a Satellite Test Call. Once set, any competitors who have not made a test call will see an alert on their entry.

Acknowledgement of the test call can be made within the race office on the race entry, this will clear the task alert.

Regatta Noticeboard Links

Regatta cumulative results now include a link back to the notice board for that regatta.
